Job Summary :
The Harvard University Graduate School of Design (GSD) offers graduate degrees in Architecture, Landscape Architecture (LA) and Urban Planning and Design (UPD). The Master in Real Estate (MRE) program is a 12-month program situated within the Urban Planning and Design department, which will graduate leaders in the field of real estate equipped to meet the economic, social, and environmental challenges confronting the built environment of cities and metropolitan areas in the 21st century. Reporting to the LA/UPD Department Manager, the position supports and coordinates key aspects of the MRE program and serves as the primary point of contact for students and faculty of the program.
NOTE: The hire date for this position will be in January, 2023. The review of applications and interview process will begin in September, 2022.
Position Description :
With great attention to detail, manages and updates student records and student information databases; Keeps students informed of their progress toward degree and other program matters; assigns academic advisors, answers student questions, and communicates program-related information and policies.
Works closely with MRE program leadership to resolve student issues, update policies, and support the MRE program; Works closely with Registrar on student academic matters, and with Admissions Office to facilitate admissions process and track unfulfilled pre-requisite courses.
Serves as initial point of contact for students and faculty in the program regarding administrative matters and support, and for all other constituents within and outside of the University.
Works closely with MRE program leadership to coordinate and support all aspects of the MRE program, including coordination of practicum logistics, coordination of program-related correspondence; planning and execution of student orientation, receptions and other events.
Coordinates and staffs MRE advisory committees.
Maintains MRE program website(s) and manages program inbox; creates and updates Canvas site and other online web pages and resources.
Provides administrative support for MRE program leadership, providing a wide range of high-level administrative support with accuracy, discretion, and good judgment; Coordinates and maintains information related to guest lecturers, courses, publications, lectures, etc; coordinates travel arrangements as needed for program-related activities; composes, prepares and proofreads correspondence, announcements, reports, and agendas.
Schedules, coordinates and staffs MRE program meetings: drafts agenda for faculty program director, books rooms, orders catering, prepares materials, and assists with meeting execution and logistics as needed (such as with presentations), and generates and disseminates meeting agendas and logistics.
Processes reimbursements and pcard receipts; reconciles corporate cards on a monthly basis via Concur. Works with program leadership, UPD Department Manager, and Academic Affairs Business Office to track discretionary spending and program budgets.
Works frequently with academic affairs department staff and other departments in the GSD to coordinate and execute program-specific and School-wide tasks, including studio lottery, search committee meetings, pre-term workshops, orientation, open houses, welcome receptions, end of year celebrations, and commencement, as well as other ad hoc or special events and initiatives.
Assists UPD Department Manager and faculty program leadership with onboarding of voting and non-voting program faculty, and tracking faculty information in databases.
Provides general office support including ordering office supplies, maintaining faculty resource room, purchasing parking passes, updating department office labels, responding to walk-in inquiries, managing office resources such as copiers, monitoring department and program email addresses and voicemail, answering department/program phones, providing office coverage, and other administrative support duties.
Provides support to UPD department chair, program directors, and department manager as needed, including special projects, proofreading documents, and other administrative support duties as necessary including individual or team projects such as assisting with course field trips and coordinating committees; Provides support to UPD department and other academic departments and programs as needed; additional duties and special projects to be assigned.

Work is primarily performed in an office setting. Any remote aspect of this position is circumstantial, and the department will ensure a smooth and safe in-person transition.
